Invite colleagues and control exactly which parts of the panel each of them can open.

Most workspaces end up with more than one person in them: someone runs the agent, someone works the CRM, someone handles the money. Team lets you add them and decide what each one sees.

The three access levels

LevelWhat they get
OwnerYou. Full access to everything, including billing. There's exactly one, created at signup.
AdminFull access to everything operational. Can manage the team.
MemberOnly the modules you switch on for them.

Owner and admin bypass the fine-grained permissions entirely — they see everything. Members are the interesting case.

Adding someone

    Enter their details

    Email, name, a password, and whether they're an admin or a member.

    They can log in immediately

    Accounts you create are pre-verified — no email round-trip. Tell them the password and have them change it.

    Set their permissions (members only)

    The sliders icon on their row opens a drawer listing every module, grouped the same way as the sidebar. Switch on what they need.

Note

An email address can only belong to one workspace. If someone already has a Vocallie account under that address, the invite is rejected — use a different address.

Permissions

Each module has an on/off toggle, and some have extra action toggles underneath — for example Contacts has view as the module toggle and edit and export as separate actions.

Switching a module on does not switch its actions on. Grant Contacts and someone can look; grant Contacts + edit and they can change things. This catches people out constantly — if a teammate says a button does nothing, check the action toggles.

The row for each member shows either "Full access" or how many modules they have.

Sensible permission sets

A receptionist or support person — Dashboard, Contacts (+edit), Calls, Appointments, Follow-ups, Callbacks. No agents, no billing, no numbers.

A salesperson — Dashboard, Contacts (+edit), Calls, Campaigns, Follow-ups, Appointments, Dialer.

A supervisor — the above plus Analytics and Live Monitor.

Someone building the agent — Agents, Knowledge, Actions, Test call. They don't need the CRM at all.

A bookkeeper — Billing only.

What only owners and admins can do

Regardless of permissions:

  • Add, remove or change team members.
  • Manage billing and subscriptions.
  • Buy phone numbers.

A member can never be given these through the permission drawer.

Removing someone

The trash icon on their row. Access stops immediately. You can't remove yourself, and the owner's row has no delete button.

Their historical activity stays — notes they wrote, contacts they created, follow-ups they closed all keep their attribution.

Things worth knowing

  • The sidebar hides what you can't use. If a colleague says a page "isn't there", it's a permission, not a bug.
  • The server enforces permissions independently. Someone can't reach a restricted page by typing its URL.
  • Demoting an admin to member gives them a default permission set, not the one they had before. Re-check their permissions after a demotion.
  • Seat counts are a plan limit — see Plans & limits. Extra seats are available as an add-on.
  • Passwords must be at least 6 characters. Set something reasonable and have the person change it on first login.
